Kindly note the following policy about the Google WorkSpace (nitk.edu.in)
- NITK‘s domain “nitk.edu.in” is presently linked with Google Workspaces for Education Fundamentals (Free Plan , All Users, Free Edition (no charges) w.e.f Oct 21, 2013, see comparison). A new storage policy came into effect across all Google Workspace for Education editions for existing customers in July 2022. The amount of pooled storage available after this date depends on the edition of the workspace. NITK just gets 100 TB of pooled storage shared across the entire NITK domain. Additional storage will need recurring payments (e.g : Rs 225/- per account per annum will get additional 20GB if we choose Education Plus). These parameters could change according to the internal policies of Google.
- There is an urgent need to limit the used storage to less than 100TB with a sufficient margin. Exceeding the storage limit will adversely impact the user experience of faculty, staff and students as given below.
- On Google Drive :
- Users won’t be able to sync/upload new files, Users won’t be able to create new files,Until storage usage is reduced, users cannot editor copy affected files and Syncs between Google Drive folder will stop.
- Google Meet
- Users won’t be able to record new meetings.
- Google Photos
- Users won’t be able to upload Photos/videos is original/storage Server quality
- Google Classroom
- Assignment creation/access will be affected, Grades can’t be exported to sheets

- This situation has forced to take a decision to limit the individual storage limit for the entire NITK domain to 15GB. Once the used storage is reduced to a safe value with sufficient margin; the domain will be subdivided into different organisational units with their own individual limits as a FAIR USAGE POLICY.Kindly note that the new storage limit (15GB by default, or a different limit) for your account will apply to Google Drive, Gmail, and Google Photos.If your account runs out of storage the following will occur until you free up additional space within these services:
- Gmail:
- Users will still be able to send and receive email
- Drive:
- Users will not be able to sync or upload new files. You will not be able to create new files in Google Docs, Sheets, Slides, Drawings, Forms, and Jamboard. Until storage is reduced, owners won’t be able to edit or copy the files affected by the storage quota set; collaborators won’t be able to edit the affected files. Syncs stop between your computer's Google Drive folder and My Drive
- Photos:
- Users will not be able to add or back up existing photos or videos
- It is also observed that at present there are more accounts retained than what is absolutely essential for the administrative, academic, research and consultancy needs of the Institute. Hence, all accounts other than the bonafide accounts absolutely necessary for the NITK's administrative, academic, research and consultancy needs will have to be scheduled for deletion by January 23, 2023(Monday).
- Henceforth, it will be necessary to delete the accounts of those who leave NITK (due to course completion, end of tenure, resignation/VRS/retirement etc) within an announced grace period from the date of their departure from NITK. All such personnel will have to back up or transfer their mails/photos/documents into some other storage / account well before the end of the grace period.
- All users are requested to take steps to reduce their pooled storage usage to less than the imposed limit. The following steps might help.
- To review how much storage you’re using in each service, go to storage status .
- To delete any unnecessary files in Drive, Gmail, and Photos, please complete the following steps:
To review storage usage in relation to quota and delete large or unnecessary files in Drive, go to quota .
To review and delete large or unnecessary files in shared drives, go to Shared Drives .
- Consider deleting Drive content that you may have copied to a shared drive. If a file resides in 2 locations, it may be consuming twice the storage space.
- To search for and delete unnecessary or large emails, go to Manage files in your Google Drive storage and follow the instructions for Gmail.
- Google Takeout has been enabled for Drive, Gmail, and Photos. Use this service to export an archive of your Drive, Gmail, and Photos data. Note, exporting an archive of your data does not remove the data from your nitk.edu.in account. Follow the instructions below for the two options for downloading your data:
- Download your data into an archive
- Copy your data to another Google Account

- BAN ON MISUSE OF THE INSTITUTE NETWORK : Usage of the Institute resources including the Google Workspace Account for any activities resulting in the violation of the IT Policy of NITK , IT Act, Copyright Act , Indian Penal Code or Criminal Procedure Code and any other relevant provisions of the policies of Government of India announced time to time IS EXPLICITLY BANNED.
- POLICY AGAINST SOFTWARE PIRACY : Software Piracy is a CRIME. Legitimacy of any commercial software found in the Google Workspace Account shall be the SOLE RESPONSIBILITY of the Account owner. NITK never permits unauthorised use of any paid software in its premises. Please see the OM-17-5-2019 . NITK strongly advises everyone that nobody should use any pirated/ unlicensed software, violation of which may result in imminent handing over such users to the legal authorities for suitable action.
